A gifts and hospitality policy at Joy CE Filters
These are guidelines that outlines what is considered acceptable behavior when receiving or giving gifts, hospitality, or other benefits.
1. Gifts:
- 1. The company will declare any gift received valued at above R500, it will be recorded to the companies accounting offer, Jan Stander and Associates.
- 2. Gift registry will be available and be recorded for future reference.
- 3. Gift-giving occasions: Specify occasions when gifts can be given (e.g., Wines , pens , souvenirs ,lunchs).
- 4. Luxury and expensive gifts are prohibited to be given e,g large amounts of cash , expensive luxury good
2. Hospitality:
- 2.1. Meals and entertainment: To be recorded and nothing done in secret, this will include business meals, entertainment, and travel expenses.
- 2.2. Event attendance: Joy CE filters can sponsor an event and can also be invited to such on provision everything is business related and recorded., not limited to conferences, seminars, etc.
- 2.3. Spouse/partner inclusion: Specify when spouses or partners can be included in hospitality events.
3. Other considerations:
- 3.1. Disclosure: Require employees to disclose all gifts, hospitality, or benefits received.
- 3.2. Approval process: Establish an approval process for gifts or hospitality above a certain value or in specific circumstances.
- 3.3. Record-keeping: Maintain a record of all gifts, hospitality, or benefits received.
- 3.4. Training and awareness: regular training and awareness programs will be provided to ensure employees understand the policy.
- 3.5. Consequences: Noncompliance will lead to disciplinary action take.
